Meera Pharma Ltd stores its accounts in encrypted files using internal short-form codes. On demand, the officer asks for access. Which set of items is the company required to provide under the CGST Rules where the accounts are stored electronically?

The company must give details of the files, their passwords, an explanation of codes used where necessary, any other information needed for access, and a sample print copy of the stored information. Providing only one of these, or software source code, does not satisfy the rule.

  1. ADetails of the files, passwords of the files, explanation for codes used where necessary, other information required for access, and a sample print copyCorrect
  2. BOnly a sample print copy of the information stored in the files
  3. COnly the passwords, since codes are internal to the company
  4. DSource code of the accounting software and a statutory auditor's certificate

Explanation

The rule says that on demand the registered person shall provide details of such files, passwords of such files and explanation for codes used, where necessary, for access, and any other information required for such access, along with a sample copy in print form of the information stored. Providing only a print copy or only passwords is incomplete. Source code and an auditor's certificate are not mentioned.
