Types of Business Letters with Examples for CSEET
Updated 11 October 2026 · Fact-checked
Business letters are grouped by purpose: enquiry, quotation, order, complaint, adjustment, sales and collection letters. To solve a question, identify the purpose, use the standard layout, state facts clearly in the body, close with the action you want, and keep a polite, courteous tone. Write in short paragraphs.
Understand Types of Business Letters
A business letter is a formal written message sent between firms, or between a firm and a customer, supplier or bank. Each type of letter has one clear job. If you know the job, you know what to write.
The usual trade cycle shows how the letters connect. A buyer sends an enquiry to ask about goods. The seller replies with a quotation giving price and terms. The buyer sends an order. If goods are wrong, late or damaged, the buyer writes a complaint. The seller answers with an adjustment letter that accepts, partly accepts or refuses the claim. Separately, the seller writes sales letters to win customers and collection letters to recover unpaid dues.
A quotation is the seller's offer. It states price, quantity, discount, delivery time, payment terms and how long the offer stays valid. An order must be precise: item, quantity, price, delivery date, place and mode of payment. A complaint must state facts and the remedy you want, and must not be rude.
A sales letter follows the AIDA idea: get Attention, create Interest, build Desire, prompt Action. A collection letter is usually sent in stages: a gentle reminder, a firmer follow-up, then a final notice. The tone gets firmer but stays polite so the customer relationship is not lost.
In the exam you are asked to draft a letter for a given situation. Marks go for format, content, clear language and tone.
Key rules to remember
- Standard layout
- Sender's address → Date → Receiver's address → Subject line → Salutation → Body → Complimentary close → Signature and name
- Use this order for every letter. Do not leave out the subject line.
- Enquiry letter content
- Source of information + goods wanted + price, discount, terms, delivery + request for reply
- State clearly what you need. Mention if you may place a bulk order.
- Quotation content
- Thanks + price + discount + packing and delivery + payment terms + validity period
- Always include how long the offer is valid.
- Order letter content
- Reference to quotation + item, quantity, rate + delivery date and place + payment mode
- Be exact. Vague orders cause disputes.
- Complaint letter content
- Reference of order + exact fault + inconvenience caused + remedy sought + deadline
- Stay factual and polite.
- Sales letter (AIDA)
- Attention → Interest → Desire → Action
- End with a clear call to action such as a visit or call.
- Collection letter stages
- Reminder → Follow-up → Strong appeal → Final notice
- Tone becomes firmer at each stage.
How to solve Types of Business Letters questions
Use this method for any question that asks you to draft a business letter.
- 1Read the question and name the letter type from its purpose: asking, offering, buying, complaining, resolving, selling or recovering.
- 2Note every fact given: names, dates, order numbers, amounts and the problem. Use only these facts. Do not invent new ones.
- 3Write the sender's address, date, receiver's address, subject line and salutation in the correct order.
- 4Open with the reason for writing in one sentence and refer to earlier letters or orders.
- 5Write the body in two or three short paragraphs: details first, then the request or remedy.
- 6Close with the action you expect and a polite line, such as a request for an early reply.
- 7Add the complimentary close, signature and designation. Check tone, spelling and that every fact is covered.
Quickest way: Purpose-Details-Action drafting
When to use it: Use it when you have about ten minutes for a letter question.
- Write the layout skeleton first: addresses, date, subject, salutation.
- Jot three points: purpose, key details, action wanted.
- Write one paragraph for each point.
- Finish with the close and signature, then re-read for missing facts.
Common mistakes in Types of Business Letters
Skipping the subject line or putting it in the wrong place
Students treat it as optional.
Fix: Place a short subject line after the receiver's address and before the salutation.
Writing an angry, rude complaint letter
Students let the frustration in the situation show in the tone.
Fix: State facts, name the remedy and keep a firm but courteous tone.
Leaving out price, quantity or delivery date in an order letter
Students rush and forget that an order is a binding request.
Fix: Use the checklist: item, quantity, rate, delivery, payment.
Quotation without a validity period
Students forget it is a time-bound offer.
Fix: Always state until when the prices hold.
Making a first collection letter threatening
Students assume recovery means pressure.
Fix: Start with a polite reminder and raise firmness only in later stages.
Inventing facts or using wrong salutation and close pairs
Students try to make the letter longer, or mix up formats.
Fix: Use only given facts. Pair 'Dear Sir' with 'Yours faithfully' and 'Dear Mr Sharma' with 'Yours sincerely'.
