A manager must inform a supplier of a sensitive price dispute. She first phones the supplier to discuss it and then sends an email summarising what was agreed. What is the main reason for adding the email?
The email converts the oral discussion into a written record. Phone conversations leave no proof and agreed terms can later be disputed, so a written summary confirms what was agreed and can be referred to or used as evidence. It does not make the exchange non-verbal or one-way.
- ATo convert the oral discussion into a written record that can be referred to laterCorrect
- BTo replace the need for any feedback
- CTo make the communication non-verbal
- DTo reduce the message to a one-way flow
Explanation
Oral discussions leave no record and may be disputed later. A follow-up email confirms the agreed points in writing, giving documentary evidence. The email does not remove feedback, does not make the message non-verbal, and does not make it one-way.
